This Privacy Policy explains how Optimus Information Inc. (“Optimus”, “we”, “our”, or “us”) collects, uses, stores, and protects personal data when you use Certifi, available through Microsoft Teams and Copilot

 

Collected Information  

When you use Certifi (the certification agent), we may collect:  

Certifi processes the following categories of personal data: 

  • Your Email address 
  • Your Azure Active Directory (AAD) ID 
  • Your Tenant ID 
  • Your certification progress and interaction data 

Certifi does not collect personal data directly from users. All personal data is provided by Microsoft Teams when users interact with the application. 

 

How We Use Information:  

  • Provide personalized certification support  
  • All data is stored within our Microsoft 365 tenant and governed by their existing organizational security and privacy policies.  
  • Email addresses are used to send progress reports to users. 
  • AAD ID and Tenant ID are used to uniquely identify users. 

 

Lawful Basis for Processing 

Personal data is processed as part of standard Microsoft Teams application functionality. Processing is necessary to provide the service requested by the user. 

 

Data Sharing 

Certifi does not share personal data with any third parties or third countries. 

Data Retention 

Personal data is retained for a maximum of 90 days and is deleted thereafter.

In accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:  

  • Request information about how your personal data is collected, used, and stored. 
  • Request access to the personal data we hold about you. 
  • Request correction of inaccurate or incomplete personal data. 
  • Request deletion of your personal data where it is no longer required or legally permitted. 
  • Request restriction of processing of your personal data in certain circumstances. 
  • Request a copy of your personal data in a portable format, where applicable. 
  • Object to the processing of your personal data in certain situations. 
  • Request human review where automated processing or profiling is used.
