When you interact with OptiHR, we may collect the following information:
- Your name, email address, and organizational role (from Microsoft Teams)
- Questions you ask related to HR policies
- Uploaded policy documents and related metadata
- Interaction logs and usage data collected via Azure Application Insights
We do not collect sensitive personal data such as financial or health information.
How We Use Information:
We use the information to:
- Respond to HR policy-related questions
- Help employees find and understand HR policies within Teams
- Allow HR teams to upload and manage policy documents
- Improve system performance and monitor usage
Data Storage and Access
All data is stored within your organization’s Microsoft 365 environment and governed by your internal security and privacy policies. No employee data is stored externally unless configured by your IT administrators.
Data Sharing
We do not sell or share personal information with third parties. Access to data remains within your organization unless otherwise authorized.
Analytics & Monitoring
Azure Application Insights may be used to track general usage metrics and system performance. This data is anonymized and used to improve the product.

We may occasionally update this Privacy Policy. If significant changes are made, we will notify users via Microsoft Teams or internal channels.
