These Terms of Use (“Terms”) govern your access to and use of OptiHR, an AI assistant developed by Optimus Information Inc. for HR policy support within Microsoft Teams. By using OptiHR, you agree to these Terms. If you do not agree, do not use the service.

  1. Acceptance of Terms

By accessing or using OptiHR, you confirm that you agree to these Terms and the Privacy Policy. If you are using OptiHR on behalf of your organization, you confirm that you are authorized to do so.

  1. Description of Service

OptiHR is a Microsoft Teams-based assistant that enables:

  • Employees to ask HR-related questions through chat
  • Easy access to company HR policies
  • Uploading and managing policy documents within Teams

It is designed to simplify access to HR information and centralize policy-related queries.

  1. License and Access

You are granted a limited, non-exclusive, non-transferable license to use OptiHR for internal use only. You agree not to:

  • Misuse the service or enter false or misleading data
  • Attempt to access or reverse-engineer the underlying system
  • Use the service for unauthorized or unlawful purposes
  1. User Responsibilities

You are responsible for:

  • Asking questions that comply with workplace guidelines
  • Uploading accurate and relevant HR policy documents (if permitted)
  • Using the service in line with your organization’s data and IT policies
  1. Privacy

Use of OptiHR is subject to our Privacy Policy. Personal data is handled securely and remains within your organization’s Microsoft 365 tenant. We do not sell or share user data.

  1. Intellectual Property

The OptiHR bot, including its content and platform, is the intellectual property of Optimus Information Inc. You may not reuse or redistribute any part without permission.

  1. Feedback

If you provide feedback or suggestions, Optimus may use them to improve the product without compensation or obligation.

  1. Termination

Access to OptiHR may be suspended or terminated by your organization or by Optimus if the Terms are violated. 

  1. Disclaimer of Warranties

OptiHR is provided “as is.” We do not guarantee error-free responses or that all policies will be interpreted or retrieved correctly.

  1. Limitation of Liability

To the maximum extent permitted by law, Optimus is not responsible for indirect or incidental damages arising from the use of OptiHR.

  1. Modifications to Terms

We may revise these Terms occasionally. Updates will be communicated via Teams or internal channels. Continued use implies acceptance. 

  1. Governing Law

These Terms are governed by the laws of the Province of British Columbia, Canada.
